Date modification
Due to the applied Covid-19 restrictions the cancellation of bookings has increased.
From the Avirato staff we recommend you to offer flexible reservation policies so that the client feels confident when booking in your establishment.
For that, Avirato have created a service to modify dates of reservation directly from the email. You can configure this option in the wildcards and add it to an email template.
This is to offer to clients the option of changing the date instead of cancelling the reservation. At the moment the clients modify the date they will be able to see availability of rooms and rates.
To be considered before starting:
If the rate is higher: a message with the difference to be paid will appear to the client.
If the rate is lower: no message will appear.
Configure the wildcard for email templates.
To configure the service of date modifications, follow the next steps:
In Avirato PMS go to Menu> Settings> Avirato Integrations> Avirato Integrations > E-mail > Email templates
In this section, click on the Online editor button at the bottom of the screen.
A window of your predefined browser will open.
Choose the template to add the wildcard.
Click on the wildcard button at the right side of the template picked.
Select the wildcard Date reservation modification and click on add.
Edit the text and the release of the service. Save changes.
Refresh the PMS to see the changes in the templates.
*This wildcard has two modifications. On the one hand, the text to be displayed; on the other hand, the days until this change is available. In Link text, you can write the text you want to show to your clients. In Number of Nights, you must modify it by the value of days before check-in that the modification will be available.
Example: %MoveReservation%Date of reservation to be modified%3%MoveReservationEnd%
Important! This service is available only for bookings made directly with the hotel or through booking engines. If the reservation was made through another operator, you must contact them to modify the reservation.
Once the template is set, send it by email automatically with reservation or manually.
Change of dates in the PMS
When the client modifies the dates of reservations, this is updated automatically in the PMS. You will be able to check all changes in the Client Record, there is a line with the option Clients date modification to see the date modification the client has made.
Only one modification is allowed. Once the client has made a change of date, this cannot be changed, they must contact the establishment directly.
